About the Role

The Receptionist/Office Administrative Assistant is responsible for providing front-line customer service, answering phone calls, managing office communications, and supporting the administrative operations of the business. This role requires excellent organizational skills, attention to detail, and a friendly, professional demeanor. The ideal candidate will ensure smooth operations and a welcoming atmosphere for visitors. 

Key Responsibilities: 

  • Greet visitors and clients in a professional and friendly manner

  • Answer incoming phone calls to inquires, and direct calls to appropriate team members

  • Provide basic information about the company’s services 

  • Maintain and Organize the office environment, ensuring it is clean and welcoming. 

  • Assist with maintaining records, data entry, and filing

  • Prepare and send emails, memos, letters, and other forms of communication as needed. 

  • Organize and distribute incoming mail, and other forms of correspondence

  • Assist in managing the office calendar, scheduling team meetings, and organizing events. 

  • Support staff with various administrative tasks related to client relations and operations. 

  • Coordinate office lunches including ordering food and managing delivery for meetings or special events.

  • Respond to public facing online reviews and complaints on platforms such as Google, Yelp, and social media in a timely and professional manner. 

  • Monitor online feedback and assist in improving customer satisfaction

Minimum Qualifications: 

  • High school diploma or equivalent; Associate’s degree preferred

  • Proven experience as a receptionist, administrative assistant, or in a similar role

  • Proficiency in Google Drive 

  • Creative mindset with the ability to assist in creating ads, social media posts, or organizing events. 

  • Excellent verbal and written communication skills

  • Strong organizational skills and attention to detail

  • Ability to handle multiple tasks and prioritize workloads in a fast-paced environment

  • Friendly, customer-focused attitude with the ability to interact with diverse clientele
